Compensation: Base $50-65k plus bonus

Our client is a highly respected, independent, relationship-driven wealth management firm with a strong reputation for personalized client service and a growing client base. Key Responsibilities

Client Experience, Relationship and Advisor Support

  • Serve as a primary point of contact for client service inquiries; triage, resolve, and escalate as appropriate.
  • Manage advisor calendars and client communications, including meeting scheduling, confirmations, agenda preparation, and follow-ups.
  • Prepare and finalize client meeting materials, including performance reports, statements, and planning summaries.
  • Maintain consistent, proactive client touchpoints to ensure high client satisfaction and retention.

Onboarding and Account Setup

  • Coordinate end-to-end new client onboarding, including welcome outreach, data gathering, KYC and AML requirements, and custodian paperwork.
  • Prepare, route, and track digital forms such as ACATs, new account forms, beneficiary designations, powers of attorney, transfer on death instructions, and trusted contact documentation.
  • Validate account titling, cost basis elections, trading permissions, and household or group relationships.

Account Maintenance and Service Requests

  • Process account updates including address and contact changes, RMD setup, systematic withdrawals, and standing letters of authorization.
  • Facilitate money movement including journals, wires, ACH, and check requests in accordance with firm policies and dual-control procedures.
  • Monitor and reconcile ACAT and non-ACAT transfers and resolve issues with custodians.

Documentation and Compliance

  • Maintain complete and accurate documentation within CRM and document management systems.
  • Ensure auditable records including notes, approvals, acknowledgments, and task histories.
  • Support annual compliance reviews, audits, and remediation initiatives.

Reporting and Data Quality

  • Generate client reports including performance, billing, and planning deliverables.
  • Resolve data integrity issues and maintain accurate CRM fields, pipelines, service tiers, and household structures.

Custodian and Vendor Liaison

  • Interface with custodians and asset managers to resolve service items efficiently.
  • Coordinate with planning, tax, and legal partners to gather documentation and execute follow-up actions.

Process Improvement

  • Identify operational inefficiencies and propose improvements to enhance speed, accuracy, and client experience.
  • Create and maintain workflows, checklists, and internal documentation.

Qualifications

Required

  • 1+ years of experience in a client service or operations role within a financial advisory firm, RIA, broker-dealer, private bank, or similar environment.
  • Strong working knowledge of custodian processes and common account types including individual, joint, trust, IRA, qualified plans, and entity accounts.
  • Demonstrated experience handling money movement, ACATs, new account openings and service requests in a regulated environment.
  • Proficiency with CRM platforms such as Salesforce, Redtail, Wealthbox, or Microsoft Dynamics, and electronic signature platforms such as DocuSign.
  • High attention to detail with strong written and verbal communication skills.
  • Excellent organizational skills with the ability to manage multiple priorities.
  • Ability to handle confidential information with discretion and professionalism.

Preferred

  • Bachelor’s degree in Business, Finance, Accounting, Economics, or a related field (or equivalent experience).
  • Experience with Envestnet and eMoney or similar programs.
  • Working knowledge of RMD rules, beneficiary regulations, cost basis, corporate actions, and model trading workflows.
  • Active or prior securities licensing including Series 6, Series 65, or Series 66.
