As a Full-Time Receptionist and Administrative Assistant, you will be the first point of contact for our executive suite clients and visitors, supporting daily office operations and ensuring a smooth, professional environment. You will leverage strong administrative, clerical, and customer service skills to manage phones, scheduling, data entry, and correspondence. Your organizational abilities, attention to detail, and proficiency with office software will help maintain accurate records and responsive front desk support, contributing to overall office efficiency and client satisfaction.

Main Job Tasks and Responsibilities

  • Answer multi-line telephone system, screen and direct calls for several different companies
  • Take and relay messages
  • Provide information to callers
  • Greet persons entering facilities
  • Direct persons to correct destination
  • Manage queries from the public and clients
  • General administrative and clerical support
  • Prepare letters and documents
  • Receive and sort mail and deliveries for several different companies
  • Schedule appointments
  • Tidy and maintain the reception area
  • Office opening and closing procedures, general readiness at all times
  • Client billing
  • Managing customer folders and office setup
  • Stock and tidy copy area, cafe area, conference rooms

Position may require occasionally covering other company offices located in various areas of Orlando.

This is NOT a medical or legal office, rather an executive suite serving many different types of business.

Education and Experience

  • High school diploma required - college preferred
  • Knowledge of administrative and clerical procedures
  • Active working knowledge of computers, microsoft office and mac applications
  • Knowledge of customer service principles and practices
  • Keyboard skills

Qualifications and Key Competencies

  • Strong verbal and written communication skills
  • Strong command of the english language
  • Bilingual preferred, however not required
