Overview

The Facilities Management Division is seeking a highly qualified Administrative Specialist for our 33rd Street Maintenance District (Corrections). This position will provide varied administrative support tasks for the maintenance district. Job Description

General Functions

This position is responsible for coordinating and providing administrative/clerical support to the assigned division/section. The role is responsible for assisting with day to day functions of the assigned area and for performing a variety of office support tasks including communicating with internal county staff.

Work is performed under the direct supervision of direct supervisor is reviewed based on accuracy, timeliness and effectiveness of results achieved.

Representative Duties/Assignments

Duties may vary based on area of assignment. The following are representative duties, it is not the intent to capture all duties performed by this classification.

  • Performs word processing or data entry into CMMS system.
  • Solves routine customer-related problems and answers questions via telephone and e-mail.
  • Prepare general, routine correspondence or spreadsheets.
  • Performs basic clerical duties such as filing, faxing, photocopying, and dispatching.
  • Assists in preparing payroll and daily timesheets.
  • Compile files, maintain logs, schedules meetings, etc
  • Coordinates and maintains calendars for professional staff, coordinates and schedules appointments and vacation requests.
  • Sets up interviews and coordinates training of staff members.
  • Participates in emergency activities/responses.
  • Performs other related duties as assigned.

Minimum Qualifications

High School diploma or equivalent.

Two (2) years of clerical or secretarial experience.; or an equivalent combination of relevant education or experience on a year for year basis.

Preferences

  • Experience in providing administrative support in the public sector.
  • Experience in Facilities Management.
  • Experience with Microsoft Word, Excel, Advantage.
  • Experience with CMMS (Computer Maintenance Management Systems) such as Maximo.
  • Ability to type at a rate of 40 correct words per minute.
  • PC experience with word processing, spreadsheet or presentation software.
  • Technical experience in the use of a personal computer for information input and retrieval.
  • Ability to demonstrate intermediate to advanced proficiency in word processing, spreadsheet or presentation software, grammar, spelling or filing.
  • Possess and maintain a valid Florida Driver¿s license by date of hire.

Salary Information

Pay Grade: 010 - From $18.10 to $22.97

Notes

Selected candidates will be required to provide employment references and will be required to complete a pre-employment drug, physical and background check.

The initial assignment will be the 33rd Street Maintenance District (Corrections). Standard work hours are Monday thru Friday 7:00 a.m. to 4:00 p.m. Work hours may include, weekends, after-hours, and post hurricane response due to operational needs.

This position is subject to assignment at any Facilities Management location due to project, task, or operational requirements.
