Administrative Assistant, Sales & Marketing
GLE Scrap Metal - FloridaGLE Scrap Metal is seeking a detail-oriented Administrative Assistant to join our sales and marketing team. This position requires strong technical skills in Excel, PowerBI, SQL, and CRM systems to support our sales cycle from prospecting through contract management. The ideal candidate is highly organized, data-driven, and capable of working independently while collaborating effectively with our sales team and executives.
Key Responsibilities
Sales & Database Management
- Maintain and update purchase orders, databases, and sales resources
- Perform contract entry for Purchase Orders and Sales Orders
- Manage lead generation, data entry, and pipeline management in CRM (HubSpot preferred)
- Add to and update company databases with accuracy and consistency
- Assist buyers with daily client management including client communication, purchase orders, and settlements
Reporting & Data Analysis
- Produce regular purchasing reports from company databases
- Prepare sales and operational reports using PowerBI dashboards
- Run queries and extract data using SQL databases
- Update internal sales tools and spreadsheets
- Analyze market and client data to support business decisions
Sales Support
- Assist with bids and RFQ's (Request for Quotes)
- Support prospecting efforts and proposal development
- Maintain existing client relationships and business
- Assist in maintenance and creation of marketing materials
- Conduct market and client research
Required Skills & Qualifications
Technical Skills (Required)
- Advanced Microsoft Excel experience (pivot tables, VLOOKUP, formulas, data analysis)
- Proficiency with Microsoft Office Suite
- CRM software experience (HubSpot strongly preferred)
- Some experience with AI tools and applications
Technical Skills (Preferred)
- SQL and database query experience
- NetSuite ERP experience is a plus
- PowerBI experience for creating and managing reports and dashboards
